Standing Rules

The Standing Rules are motions that are made every year at the transition meeting of the ARMA Atlanta Board of Directors.

ARMA International Conference - President's Attendance

For incoming Presidents, the chapter will reimburse expenses for travel to the annual ARMA International conference for any expenses not covered by the individual's company.  The President must submit the written reimbursement statement from their company to the Board prior to the reimbursement.  The travel guidelines for Speakers apply to these expenses.

Dues - Regular Members

The chapter dues for Regular Members are $45, which is collected by ARMA International and sent the chapter monthly

[Note:  ARMA Intl. requests the Chapter President to verify amount annually in June.] Tabled until more information could be gathered.

Dues - Retired Member

The chapter dues for Retired Members are $1 per year, which is collected in July by the Treasurer.  These dues provide the privileges of a regular chapter member.

Meeting Cost

Workshop Cost:  Free 

Meeting Cost (whether or not lunch is eaten):

-          $25.00 - Members

-          $30.00 - Non-Members & Members Without Reservations

-          $26.00 - Members - PayPal Payments (includes Admin Fees)

-          $31.00 - Non-Members - PayPal Payments

The Treasurer will collect the money at the meeting if not paid through PayPal.

Meeting Cost - No Shows

Any person (member or non-member) who

-          Makes a meeting reservation AND

-          Does not cancel by Noon the Friday before the meeting AND

-          Does not show up at the meeting

will be billed a $25 Òno showÓ fee by the Treasurer.

When a member has a meeting reservation and cannot attend (s)he may send someone else to use the reservation at the member price.

Scholarship

The Chapter will fund scholarships per the Scholarship Statement of Purpose not to exceed a total of $1000 per ARMA year (July-June).

Speaker - Gifts

All workshop and luncheon speakers, who do NOT charge a speaker fee, shall receive

1)      Free lunch AND

2)      Expenses (airfare, hotel, meals, transportation, etc.) - if they travel from out of town AND

3)      Gift

The Treasurer will have gifts ready to be presented to the speaker at the meetings.

Speaker - Travel Expense Reimbursement Guidelines

-          Airline tickets must be 21 day, advanced purchase coach fare

-          Per Diem of $50.00

-          Ground transportation

-          Hotel - we select hotel for speakers, otherwise, $200.00 maximum

-          Mileage is reimbursed at current IRS rate

-          Any expenses over these amounts or in addition to these items must receive prior approval of the Board.

July

-          Chairman of Board (COB) - Has first board meeting to plan the goals

-          Board -

o         Establishes a Budget

o         Determines who will chair committees

o         Determines if need to change 3rd Tuesday meeting date because conflicts with ARMA Conference

o         Establishes a committee to plan holiday event

-          1st VP - Begins planning programs

September

-          Board - Establishes a committee to plan the seminar

March

-          President - At March meeting seeks candidates for the new officers

-          President - At March meeting requests nominations for Awards

-          COB - Establishes the Awards Committee

April

-          President - At April meeting introduces Board candidates

-          COB -

o         Obtains a biography and platform from each candidate which is published on the website with a communication via list serv.

o         Establishes the Teller Committee

o         By last week in April sends out ballot.

May

-          Voting - May meeting is the last day to vote.  Count votes and announce the winners after the meeting.

-          COB - Sets date of the Board's transition meeting with new and retiring officers.

June

-          Board -

o         Determines which members are going to the Regional Leadership meeting

o         After June Board meeting, has a transition Board meeting for retiring board members to transfer knowledge and records to new board members.

o         Sends records from the previous year to the Archive Committee Chair for retention.
